Voice AI

Multi-Tenant Voicebot Platform Development

Run AI voice agents for many businesses from one platform, with each tenant’s data, knowledge, voice and billing kept separate.

A multi-tenant voicebot platform lets you offer AI voice agents to many customers from a single product. Each business gets its own phone numbers or web voice widget, its own knowledge base, prompts, voice and analytics, while you maintain one codebase, one deployment and one billing system. It is the model behind voice AI SaaS products, agencies that resell voice agents to clients, and companies running support lines for several brands or locations.

Getting a voice demo to work is easy. Getting it to work for fifty tenants is not. The hard problems are data isolation, response latency on live calls, cost per minute, and giving each tenant enough control without letting them break the system. Creexio builds platforms around those problems from day one.

This work combines two things we have already shipped. We built a multi-tenant AI chatbot SaaS where every business trains its own assistant, captures leads, syncs them to a CRM and pays through subscription billing. We also built MedNotes, which records doctor-patient conversations in the browser, transcribes them with OpenAI Whisper in multiple languages and turns them into structured clinical notes with GPT-4. A voicebot platform joins that speech pipeline to that multi-tenant SaaS foundation.

A typical architecture has five layers. Audio comes in over a telephony provider or SIP trunk for phone calls, or WebRTC for voice on a website or app. Streaming speech-to-text converts the caller’s words as they speak. A language model, given the tenant’s instructions and documents retrieved from a per-tenant vector index (we use pgvector for retrieval, as in our RecruitIQ platform), decides what to say or which action to take. Text-to-speech replies in the tenant’s chosen voice, and the platform handles interruptions so callers can cut in naturally. Every turn is logged with its transcript for review.

Multi-tenancy is enforced in the data layer, not just the UI. Every record carries a tenant ID, queries are scoped by default, credentials and phone numbers are stored per tenant, and role-based access separates platform admins, tenant admins and agents. We have built the same pattern for a trucking compliance platform where each carrier’s records stay private, and for a recruitment SaaS with four user roles.

The business layer is what makes it a product. Usage is metered per call and per minute so you can price plans and spot unprofitable tenants. Subscriptions run through Stripe, as in our Datalyze analytics SaaS. Tenants get a dashboard with call transcripts, summaries, outcomes and captured leads, plus handoff options: transfer to a human, send a summary to the CRM, book a meeting, or open a ticket.

Voice raises compliance questions that text chat does not. We design for call-recording consent prompts, redaction of personal data in transcripts, per-tenant retention settings and audit logs. If you serve healthcare, finance or another regulated industry, we plan the vendor choices and hosting around those requirements up front.

We usually start with a pilot for one tenant and one call flow, so you can hear real calls and measure latency and cost before scaling. Then we add tenant onboarding, the admin console, billing and analytics. You own the code, the infrastructure accounts and the documentation.

If you are planning a voice AI product or want to add voice to an existing chatbot platform, send us your use case, expected call volume and target markets. We will reply with a recommended architecture, the main cost drivers and a phased plan.

Frequently asked questions

What is a multi-tenant voicebot platform?

It is one software platform that runs separate AI voice agents for many businesses. Each tenant has its own phone numbers or voice widget, knowledge base, prompts, voice, users and reports, while the platform owner manages a single codebase, deployment and billing system.

Can the voicebot handle both phone calls and website voice chat?

Yes. Phone calls connect through a telephony provider or SIP trunk, and website or in-app voice uses WebRTC. Both feed the same speech, language model and tenant configuration, so behaviour and reporting stay consistent across channels.

How do you keep each tenant’s data separate?

Isolation is enforced in the database and API layer: every record is scoped to a tenant, credentials and phone numbers are stored per tenant, and knowledge-base retrieval only searches that tenant’s documents. Role-based access controls what platform admins, tenant admins and agents can see.

Which speech and AI models do you use?

We choose per project based on language support, latency and cost per minute. We have shipped OpenAI Whisper for transcription and GPT-4 class models for structured output in production, and we integrate Claude and other LLM APIs as well. We keep providers swappable so you are not locked in.

How much does it cost to build a voicebot platform?

It depends on channels, languages, integrations and how much tenant self-service you need. We scope in milestones, starting with a single-tenant pilot, so you see working calls and real per-minute costs before committing to the full platform.
